Booking & Payment Policies
Session Fees
• Your session fee secures your appointment time and our professional expertise
• This fee covers our time and talent; images and products are available for separate purchase
• To confirm your booking, payment is required at the time of scheduling
• Your preferred time slot remains available to others until payment is received
Rescheduling & Cancellations
• Need to reschedule? We’re happy to accommodate with 48 hours’ notice
• In emergency situations (with 24 hours’ notice), your session fee can be applied to a new date
• For newborn sessions, we recommend booking early as the ideal photography window is within the first 21 days
• While we’ll do our best to accommodate rescheduled newborn sessions, we cannot guarantee availability within this optimal timeframe
Circumstances Beyond Our Control
• In rare cases where we cannot perform our services due to:
- Natural disasters or acts of God
- Severe illness
- Technical equipment failure
- Other circumstances beyond our control Your session fee will be fully refunded
- Our liability is limited to the amount paid by you
Gift Vouchers
• A thoughtful way to share the gift of photography
• Valid for session fees and/or product collections
• Non-refundable and non-transferable
• We recommend confirming with the recipient if the voucher covers session fees only, as additional costs may apply for images and products
Lateness:
Please arrive on time. Arriving more than 20 minutes late may result in the session being cancelled, and a fee of £85 will be required to reschedule. Sufficient time is allocated for each session, and late arrivals may affect the ability to complete the planned activities.
Ordering & Image Policy
Your Session Experience
• We aim to create 25+ beautiful images during your session
• Each session is uniquely crafted using our professional artistic judgment and expertise
• For children’s sessions, we work at their pace to ensure natural, authentic moments
• Parents/guardians are responsible for children during the session
Viewing & Ordering Process
• Your viewing session will be scheduled shortly after your photography session
• During this special appointment, you’ll see your carefully curated gallery
• This is your opportunity to select your favorite images and products
• If you need to reschedule, please arrange this within 3 months of your session date
Product Selection & Pricing
• Your collection pricing is guaranteed for 3 months from your viewing session
• To secure your quoted prices, please finalize all product choices within this period
• After 3 months, pricing may be subject to supplier adjustments
Our Commitment to Quality
• If technical issues affect your images, we’ll arrange a complimentary re-shoot
• If a re-shoot isn’t possible, your session fee will be fully refunded
Important Note: To ensure you don’t miss out on your precious memories, please attend your scheduled viewing session or arrange a new appointment within the 3-month timeframe. Galleries that remain unviewed after 3 months will be archived.

Each session is classed as an individual session. Viewing sessions, products, print packages, albums, or digital collections cannot be combined across multiple sessions.

Your Images & Copyright Protection
We’re delighted to create your precious memories, and we want to ensure they’re shared and preserved appropriately:
• All images are protected by copyright and remain the property of Maxine Sarah Photography
• When you purchase digital images, you’ll receive a print release for personal use
• Feel free to share your sneak peek images on social media by using the ‘share’ or ‘tag’ features
• Please keep our watermark/logo intact and credit “Images by Maxine Sarah Photography” when sharing
To protect the quality and integrity of your images, please don’t:
• Save, screenshot, or download images from social media
• Scan, copy, or alter any printed photographs • Remove our watermark or logo
• Use images for commercial purposes
When you purchase digital images, you’ll receive a print release document outlining all the wonderful ways you can use your photos for personal use.
We appreciate your understanding in helping us protect our artistic work while ensuring you get the most enjoyment from your beautiful photographs.”
Maxine Sarah Photography retains all rights to use any images for display, advertising, portfolio, industry competitions, publication, or promotion of its work.
Image Storage & Viewing Policy
To ensure a seamless experience with your precious photographs:
• Your viewing session is a special opportunity to select your favorite images
• Following your viewing session, we carefully preserve only your purchased images
• For your peace of mind, please select and purchase your chosen images during your viewing appointment
• Your complete gallery remains securely stored for 3 months from your photography session date
While we’re happy to reschedule viewing sessions when needed, please note it’s important to arrange this within your 3-month storage period. We recommend marking your viewing session date in your calendar to ensure you don’t miss this special moment.
Creating Your Perfect Studio Experience
To ensure we capture those perfect moments and maintain our calm studio environment:
• We kindly ask that all electronic devices (phones, cameras, camcorders) remain outside the photography area
• Our studio is a dedicated space for professional photography, allowing us to focus entirely on creating your beautiful images
• If you need to take a call, we have a comfortable area outside the studio for your convenience
• This helps us maintain the peaceful atmosphere that’s especially important for our newborn and family sessions
Photographic prints
Our Commitment to Print Quality
We take pride in delivering prints of exceptional quality. Every image is carefully edited on professional, color-calibrated equipment to ensure the finest results:
• Your prints are crafted using precise color calibration technology
• Each image is professionally edited to our exacting standards
• When ordered through us, your prints will perfectly match our artistic vision
Please Note: The way images appear on different devices (phones, tablets, or computers) may vary, as these screens aren’t typically color-calibrated. For guaranteed color accuracy and the highest quality results, we recommend ordering prints directly through our studio.
Your memories deserve the best possible presentation, which is why we maintain strict quality control throughout our printing process.
Pricing
Our pricing structure is regularly reviewed to ensure we continue delivering exceptional quality and service. While we strive to maintain consistent rates, prices and packages may be adjusted to reflect market changes and studio improvements. Any changes will only affect future bookings, with your quoted price being honored for your scheduled session.
Collection of products
Quality Assurance at Collection: Please inspect your beautiful prints upon collection. While we carefully check each product before handover, we kindly ask you to confirm their condition at the time of collection. This ensures you’re completely satisfied with your precious memories.
